Arranging your hire

A hire agreement covers more than a vehicle choice. Establish who will drive, where the handover takes place and how the vehicle will be used before committing to the booking.

Payments, handover and hire conditions

These are general booking policies, with supplier and vehicle exceptions where stated. Your quotation needs to reflect the actual drivers, addresses and journey, including any non-standard arrangements.

How do I arrange a Surrey hire quotation?
Bookings are taken by phone on 01273 115710. Describe the vehicle size you want and the journey; the team can help choose a group. Then provide your hire period, delivery and collection dates and times, full addresses with postcodes, contact details and information for every named driver, including any additional drivers.
What will you check for each driver?
The usual age range is 23-70, and an in-date licence must have been held for two years or longer. Eligibility also depends on insurer approval, convictions, points, vehicle group and the entitlements recorded on the licence. Category B generally covers a gross vehicle weight no higher than 3.5 tonnes with a maximum of nine seats counting the driver. Trucks or larger minibuses may call for C1, D1 or another category, plus checks on commercial use. Assessment of the precise licence and intended use is essential; this is not legal clearance.
Where can free delivery and collection be arranged?
Free delivery and collection are available for eligible homes and workplaces on the UK mainland, once the vehicle, timing, address and access are agreed. Stations, ports and airports are not standard handover points, nor are empty properties at which the hirer is unregistered. Changed arrangements, failed handovers and specialist requests can add charges.
Which insurance arrangement will my quotation use?
Included cover has limits: it excludes tyre and windscreen damage, flood damage, overhead-height damage and goods in transit, and an excess applies. Comprehensive vehicle insurance normally accompanies eligible hires of 7.5 tonnes and below, inclusive, for approved named drivers. For the 18, 26 and 44 tonne classes, arrange approved customer company insurance and hold the applicable operator credentials.
Does an excess-reduction option remove all liability?
No. Do not assume zero excess or zero liability. A collision damage waiver may reduce the excess on a particular vehicle, but zero excess is not standard. Ask which option, if any, is available for the quoted hire and what liability remains.
What use is covered by unlimited rental mileage?
Courier work is not permitted. For other delivery-service work or high-mileage use, obtain separate written acceptance before booking; additional excess-mile charges may apply. Unlimited rental mileage remains available under fair-use terms, so explain what the vehicle will do and the distance planned.
What must be arranged before a European journey?
An EU trip needs advance agreement for the particular country and vehicle. Prior permission, documents, the European insurance arrangement, breakdown cover and charges must be settled before hire; country rules, deposits and vehicle restrictions can apply. Travel is only possible to approved destinations, never automatic. European one-way hire is not available; a one-way return must remain on the UK mainland.
Can the return address differ from the starting address?
A different return point can be arranged for selected vehicles, with a one-way charge quoted for the hire. Both postcodes must qualify on the UK mainland; the route and vehicle availability need confirmation. Islands and European one-way journeys are excluded.
Should I budget for a deposit?
Most eligible UK hires have no deposit. A supplying provider can make an exception for the area, vehicle, driver circumstances or overseas use, so check your own quotation. Any deposit requirement and its refund conditions must be clear before the vehicle is released.
Which payment arrangements can I discuss?
Ask about credit cards, corporate purchasing cards or approved BACS payment. Acceptance is subject to the checks for your booking; naming a payment method does not mean it has already been accepted.
What fuel level should I leave at return?
Use the fuel level agreed for your hire as the return requirement. A shortfall may be charged under the confirmed terms or deducted from a deposit where one applies. Check the agreed level rather than assuming a different fuel arrangement.
Can I rely on a pictured model or a particular vehicle age?
No specific make, model, age or specification is guaranteed by the examples. Confirm the vehicle offered for your booking. Rental-network vehicles must meet the supplying provider's maintenance and roadworthiness requirements, and that provider remains responsible for vehicle faults and maintenance.
Will a satnav be supplied with the hire?
Satnav units are not offered. Arrange your own navigation suitable for the vehicle and journey before travelling.
